BANQUET HALL RENTAL CONTRACT
 
THIS CONTRACT is between A2Z OCCASIONS, hereinafter called the “A2Z” And
________________________________________, Hereinafter called the “HOST”.
 
A2Z agrees to lease to the Host, and the Host agrees to rent from A2Z, the 
MAIN BANQUET HALL located at 2020 North Montgomery Road, GREENSBURG, IN 47240

Pd. by:____________________ and a credit card number as security to be retained by A2Z.  Upon performance of all obligations required by the A2Z, the deposit shall be returned to the Host within 72 hours after contracted Event.

Host agrees that the rent is payable in full 30 days in advance of Event.
Host grants A2Z permission to charge rent due on provided credit card if balance is not paid by date due.
 
IT IS FURTHER AGREED AS FOLLOWS:
 
1. Host is renting the Hall for the purpose of__________________________________.
 
2. CANCELLATIONS: Host will incur a cancellation fee of $200.00 if Host cancels this
Contract, for any reason, at least 60 days prior to Event. If Host cancels less than 60 days prior to Event the entire amount of rent is non-refundable.
 
3. OUTSIDE CATERING: Only a caterer that holds a Certified Food Handler Permit may provide any food served in the Hall. A copy of the license must be submitted to A2Z at least 30 days prior to the Event. Non-compliance of this policy will result in termination of this Contract without refund of money to the Host.
 
4. ALCOHOL: Any alcohol consumed in the Hall must be purchased from A2Z and
Dispensed by an A2Z licensed bartender. Any violation of this policy will mean immediate eviction from the Hall. No money will be refunded to the Host.
 
5. DAMAGE: Host agrees to keep Hall in good condition and shall not permit any unusual wear, damage, breakage or theft to occur. Host shall pay A2Z for any loss or liability incurred to the Hall during Event. If there is liability in excess of the cash security deposit made by the Host, then Host authorizes A2Z to charge the amount of the excess cost to the credit card left with the A2Z as additional security.
 
6. CLEAN UP: At the conclusion of the Event, Host agrees to bag refuse and debris generated from Event, and place in containers provided by A2Z. Host agrees to provide routine cleaning of Hall. In the event that Host neglects to perform above duties, Resort shall do so and deduct from the security deposit a reasonable amount for such service.
 
7. Should the Hall be unusable for any reason, including fire or natural disaster, this Contract shall be terminated and A2Z shall refund the security deposit and any rent paid to the Host.
 
8. Host agrees that A2Z Occasions Inc. is not responsible for damage or loss of any item left in the hall prior to and/or following the Event.
 
9. Host agrees to indemnify and hold A2Z Occasions and its officers, owners and employees harmless from and against any and all loses, claims, damages, and liabilities to which the A2Z may become subject because of this agreement.

CATERING CONTRACT
 
Please review our Catering brochure and consult with the Catering Advisor before reading and
signing this contract.   
 
Guaranteed Attendance
For groups up to 25:  Final count for an event must be received two full working days prior to the event.  This count becomes your guaranteed number and is not subject to reduction.  Increases to your guarantee number above 3% are subject to approval.   
For groups above 25:  Final count for an event, which becomes your guaranteed number when
calculating the bill, must be received three full working days prior to the event. If attendance is more than 3% above the guaranteed number, we will make every effort to accommodate
your group.  However, we cannot guarantee availability of additional items as specified in the
original order and will substitute accordingly.
 
LATE BOOKINGS
We encourage placing your order as early as possible.  A minimum of two weeks planning is
required for some meals.  We reserve the right to refuse events that are requested late or
exceed our capacity to provide the service.
 
Cancellation Fees*
For groups up to 25-300:  Any cancellation received 1 week prior to the event date will be
accepted without charges.  Cancellation less than 1 week prior to the date of the event will result in a charge of 100% of the total bill.
 
*Wedding Receptions
Cancellations received 60 to 90 days prior to the event will result in a 30% charge of the total
bill.   
Cancellations received 30 days to 59 days prior to the event will result in a 50% charge of the
total bill.   
Cancellations received 29 or less prior to the event will result in a 100% charge of the total bill.  
 
LATE ARRIVALS/EXTENDED MEALS
Meals are served promptly as scheduled.  We allow 1.5 hours of service for dinners when guests’ counts are under 500.

PAYMENT  
Payment may be made in cash, credit card, or checks payable to “A2Z Occasions Inc.” A 7% sales tax will be added.

EQUIPMENT
We reserve the right to charge for any missing or damaged equipment attributed to individuals attending the catered event.
 
UNUSED FOOD & BEVERAGES
Any leftover food or beverage remains the property of the host party.
 
FOOD & BEVERAGES
All food and beverages will be prepared and supplied by our catering department.  Please
consult with the Catering Advisor for special needs.   
 
ALCOHOL
We reserve the right to card and/or refuse service at any event.  We reserve the right to close
the bar service.
 
CATERING RESERVATION
Please review your catering reservation.  Contact the Catering Advisor at (812) 663-4444 to
make changes or corrections.  Please return a signed copy to the Catering Advisor via fax, mail
or email.
 
CATERING CONTRACT
Catering reservations are valid for up to one calendar year.  A signed copy of this contract must
be on file in our offices in order for the contract to be valid.
